WHY DOES PAYMENT SPEED MATTER FOR PROVIDERS?
Providers have ongoing costs, including wages, equipment and administration. Timely payment helps them manage those costs and continue delivering supports. Speed needs to work alongside accuracy. An incomplete or incorrect claim may require further information before it can progress.
WHY DOES IT MATTER FOR PARTICIPANTS?
Clear payment information can help you understand what has happened to an invoice for supports you have received. Ask whether the invoice has been received, checked, submitted or paid. These are different stages. Knowing the status can help you understand the next step and whether further information is needed.
WHAT HAPPENS BETWEEN AN INVOICE AND A PROVIDER BEING PAID?
For plan-managed funding, the process generally includes:

-
Invoice received. The provider sends the invoice to the plan manager.
-
Invoice checked. The plan manager checks the support, available funding, applicable pricing and claiming requirements.
-
Authorisation confirmed. The plan manager follows the participant’s agreed approval arrangement.
-
Claim submitted. An eligible claim is submitted through the relevant NDIS provider portal.
-
NDIA processing. The NDIA processes the claim and may request further information.
-
Provider payment. After receiving the funds, the plan manager pays the provider. NDIS guidance says this should happen within 72 hours of receiving payment.

WHO HANDLES EACH PART OF THE PAYMENT TIMEFRAME?
A plan manager handles the invoice checking, eligible claim submission and payment to the provider after receiving the funds.

The NDIA handles claim processing and any additional review. Its processing time is separate from the plan manager's initial invoice checks. Banking arrangements may also affect when a payment appers in the receiving account.

When comparing timeframes, ask which stage each figure measures. An invoice-processing timeframe is different from the date the provider receives payment.
WHAT CAN AFFECT PAYMENT TIMEFRAME?
Payment may take longer when:
-
invoice details are missing or incorrect
-
available funding needs clarification
-
support or pricing information needs checking
-
participant authorisation is still being confirmed
-
the NDIA request further information or reviews the claim
WHAT CAN A PLAN MANAGER DO TO KEEP PAYMENTS MOVING?
A plan manager can check invoices carefully, explain any corrections needed, submit eligible claims promptly and pay providers after receiving the funds. These actions support timely payment and clear communication. NDIA checks remain a separate part of the process, so the final payment date can vary.
