How to Switch NDIS Plan Managers (Step-by-Step Australia Guide) 

You've decided your current plan manager isn't working for you. Maybe payments are slow, communication is poor, or you simply want a more personal service.

 

Whatever the reason, you have every right to change, and the good news is that switching NDIS plan managers is far simpler than most people expect. 

There is no lock-in. Your NDIS funding is completely unaffected. Your support continues without interruption. And your new plan manager will guide you through most of the process.

 

It is worth checking your current service agreement for any notice period requirements, as the NDIS notes you may be charged a fee if you have not provided the agreed notice before ending your service agreement. 

This step-by-step guide covers everything you need to know about changing plan managers in Australia in 2026. It explains the current PACE system process, what to do about your notice period, and exactly what to say in your notice email.

Can You Change Plan Managers Any Time? 

Yes, absolutely. The NDIS is built on the principle of choice and control, which means you have the right to change plan managers whenever you want. You do not need to wait for your plan review and you do not need NDIA approval to make the switch. 

There is no lock-in, no cancellation fee, and no impact on your NDIS plan or funding. The process takes approximately two weeks from the decision to your new plan manager being active. And your new plan manager handles most of the administrative work for you. 

 

 

The only consideration is your current service agreement notice period, but even this is more straightforward than it sounds. We'll cover it in Step 3 below.

Why Do People Switch Plan Managers? 

It's worth acknowledging that switching is a completely normal part of the NDIS journey. People change plan managers for all kinds of valid reasons: 

  • Slow invoice payments. When providers aren't paid promptly, it creates friction in your support relationships and can put your services at risk. Fast payment processing is one of the most important things a plan manager does and if yours isn't delivering, it's entirely reasonable to look elsewhere.

  • Difficult to reach. If your plan manager takes days to return calls or emails, or you're constantly speaking to a different person, that's not acceptable. You should have a dedicated contact who knows your plan. 

  • Lack of budget visibility. You should always know how much funding remains in each category. If you're getting vague or infrequent financial reports, your plan manager isn't meeting their core obligations. 

  • Your needs have changed. Perhaps your plan has grown more complex; you've moved to a new area, or you've found a provider that requires a plan manager with specific experience. 

  • You've found someone better. That's reason enough. The NDIS gives you choice and control use it. 

 

Whatever your reason, you don't owe your current plan manager an explanation. A simple written notice is all that's required. 

How to Switch NDIS Plan Managers? 

Step 1

Request a plan review.

Before you give notice to your current plan manager, know exactly who you're moving to. This matters because you want your new plan manager to be confirmed and ready before you formally exit your current one. A gap even a short one can cause delays in invoice processing and payments to your providers. When evaluating a new plan manager, the three factors that most directly affect your day-to-day experience are: Payment speed. How quickly do they process and pay invoices? Ask them directly. Responsiveness. Will you have a dedicated contact? What are their response time commitments? Budget visibility. Do they offer a real-time online portal where you can check your budgets any time? Step 2

Sign a service agreement with your new plan manager.

Once you've chosen your new plan manager, the first formal step is signing a service agreement. This is a straightforward document that outlines: What services your plan manager will provide. How invoices will be processed and paid. The NDIS pricing arrangements that apply to plan management. How long they will be your plan manager. The notice period if either party wishes to end the arrangement. Your new plan manager should walk you through this clearly, there should be no surprises. If anything is unclear, ask before signing. A good plan manager will be happy to explain every section. You can sign the service agreement with your new plan manager before you've formally ended your arrangement with your current one. This locks in your new provider and means there's no risk of a gap.

Step 3

Give written notice to your current plan manager. 

Now it's time to formally notify your current plan manager that you're leaving. Check your existing service agreement for the required notice period. Most agreements require a short notice period typically two to four weeks. This isn't designed to trap you; it simply gives your current plan manager time to process any outstanding invoices and complete a clean financial handover. Written notice means an email is sufficient; you do not need a formal letter. Your notice should state your intended end date and request a final reconciliation of any outstanding invoices. Keep a copy of the email and note the date you sent it. This starts with the notice clock. If you can't find your service agreement or aren't sure of your notice period, contact your current plan manager and ask. It's worth knowing that you are entitled to leave at any time. The notice period is generally a professional courtesy that gives your current provider time to process any outstanding invoices and wrap things up smoothly rather than a barrier to you moving on. Under the PACE system: If your NDIS plan is on the PACE system, the NDIA may allow you to begin working with a new plan manager once they have been endorsed, even if your notice period with your current provider has not yet ended. If your service agreement notice period feels too long, it may be worth contacting the NDIA directly on 1800 800 110 to discuss your options and find out what is possible for your situation.

Step 4

Add your new plan manager as a my provider with the NDIA (PACE plans) 

If your NDIS plan is on the NDIA's PACE system (which applies to most participants whose plans have been reviewed or created since late 2023), you will need to formally add your new plan manager as a my provider in the NDIA system. How to add your new plan manager as a my provider on PACE: Call the NDIS on 1800 800 110 and add your new plan manager as a my provider, which gives them access to pay your invoices. You will also need their 10-digit registered provider number, usually found on their website or in their emails. Your new plan manager will give you their provider number as part of the onboarding process. First2Care will include this in your welcome information, so you have it ready when you call. Alternatively, you can add them through the my NDIS participant portal (accessed via myGov) if you prefer to do this online. The way participants select their plan manager and the plan management rules for providers and participants do not change under the PACE system. Plan managers will continue to help participants manage funding in their NDIS plan. If your plan is not yet on PACE, your new plan manager registers as the financial intermediary for your plan through the NDIA's PRODA system on your behalf. You do not need to contact the NDIA yourself. If you're unsure whether your plan is on PACE, simply ask your new plan manager. They deal with this process regularly and will know exactly what's required for your situation.

Step 5

Tell your providers to send invoices to your new plan manager.

Once your switch date is confirmed, you need to let all your support providers know where to send invoices going forward. This is the step most participants worry about, but it's actually very simple. Your new plan manager will give you a simple template to send to your support providers. It tells them where to direct invoices going forward. This is usually all that's needed for providers to deal with plan manager changes regularly and know the process well. Your notification to providers should include: -Your name and NDIS number -The date the switch takes effect -Your new plan manager's name and invoice submission details (email address or portal) -A note that any invoices for services delivered after the switch date should go to the new plan manager First2Care provides a ready-to-send provider notification template as part of our onboarding process. You won't need to write this yourself. Important: Make sure your current plan manager processes all invoices for services delivered up to your switch date before they hand over. Any unpaid invoices at the point of switching need to be sent to your new plan manager. Your new plan manager will confirm with you how to handle any invoices that arrive after the changeover.

Step 6

Your new plan manager takes over. 

Once your new plan manager is recorded as my provider in the NDIA system and your providers have been notified, your new plan manager begins processing invoices and managing your budgets. From this point forward, everything runs through your new provider. Your new plan manager will let you know when they're officially managing your plan. From here, they'll take care of your budget and make sure your providers get paid. How Long Does Switching Take? 

From the moment you decide to switch to your new plan manager being fully active, the typical timeline is: 

Total from decision to active: approximately 2–4 weeks, depending on your notice period. The actual administrative work of paperwork, calls, notifications take only a few hours across that period, most of which your new plan manager handles.

What About My Current Invoices and Budget?  

This is the most common concern when switching, and it's completely understandable. Here's how it works: 

Invoices for services before your switch date may still need to be processed after your new plan manager takes over. According to the NDIA, if a participant chooses to change plan managers, the new plan manager will be responsible for any outstanding invoices. Once recorded, plan managers can submit claims for any period in the participant's plan. It is still a good idea to request a summary of any outstanding invoices from your previous plan manager to help ensure a smooth handover.  

Invoices for services after your switch date go to your new plan manager. Make sure all your providers know the exact date the change takes effect, so they send invoices to the right place. 

 

Budget records are held by the NDIA. Your funding amounts and remaining balances are not held by your plan manager and do not transfer. Your new plan manager accesses your current budget figures through the NDIA system as soon as they are recorded as a my provider. 

There is no gap in your plan management funding. Your plan management budget line continues uninterrupted through the switch. 
 

Switching From NDIA Management to Plan Management

If you're currently NDIA managed (agency managed) and want to move to plan management for the first time, the process is slightly different. You'll need plan management added to your NDIS plan before you can sign up with a plan manager. 

If you're in the middle of your plan and don't have a plan review coming up, you can switch to plan management by contacting your LAC or the NDIS directly. 

Call the NDIS on 1800 800 110 or your My NDIS Contact (listed on your NDIS plan) and ask for a light touch review or desktop review. Explain that you'd like plan management to add to your plan. This is a standard request and is routinely approved; the NDIA routinely approves plan management for any participant who requests it.  

Once your plan is updated to include plan management funding, you can sign up with a plan manager immediately.
