Real Stories: How Participant Use Plan Management

Understanding how plan management works is one thing. Seeing how real NDIS plan management experiences play out in everyday life is something else entirely.

 

At First2Care, we speak with participants at every stage of their NDIS journey. Some are just getting started. Others have been in the system for years. Many are simply looking for a better way to manage their plan.

While every situation is different, the same themes come up again and again. Here are some of the most common experiences that show how participants use plan management in everyday life, and what changed when they made the switch. Throughout, we have included real words from First2Care participants, taken from their public reviews.

This is one of the clearest signals that something is not right. You can switch plan managers at any time, without NDIA approval and without affecting your funding. A reasonable notice period in your service agreement (often two to four weeks) is completely normal, it simply allows a clean handover of any outstanding invoices. What is not normal is a plan manager who becomes evasive when you ask about leaving, discourages you from exploring other options, or makes the process sound far more complicated than it is. “I didn’t realise I had more choice”

One of the most common conversations we have is with participants who have been NDIA managed since they first joined the scheme. They receive their plan, the NDIA manages it, and they assume that is just how it works. Nobody told them there was another option.

 

The difference becomes clear the moment they want to try a provider who is not registered with the NDIS. Under NDIA management, that provider is simply not available to them. It does not matter how good the service is, how qualified the person is, or how much the participant prefers them. If the provider is not registered, it is not an option. 

Plan management changes that entirely. As a plan managed participant, you can use both registered and unregistered providers. That opens up independent support workers, smaller allied health practices, sole trader therapists, and community based services that may not hold NDIS registration but still deliver quality support. 

Participants who make this switch regularly tell us the same thing: they wish they had done it sooner.

If you have been NDIA managed from the start, it is worth asking yourself whether the providers you want are all registered, and whether having more choice would change anything about the supports you access. Read more: What Is NDIS Plan Management? 

"The paperwork was taking over my life"

Self management sounds appealing in theory. You pay your providers directly, you have maximum flexibility, and you keep control of every dollar. For participants who are confident navigating systems and have the time to manage it, it works well. 

But for many people, the reality is different. Processing invoices. Keeping records. Submitting claims through the NDIA portal. Reconciling payments. Following up with providers for paperwork. Managing receipts across multiple budget categories. Doing all of this while also managing the disability or health condition that brought them to the NDIS in the first place. 

When a participant switches to plan management, what changes first is time. The invoices go to a plan manager. The claims are submitted on their behalf. The budget is tracked without them having to build a spreadsheet. Within a few weeks, they have reclaimed a part of their life they did not realise plan management could give back.

Plan management does not take control away from you. You still choose your providers, set your goals, and direct how your supports are used. What it removes is the administrative load, and for many participants, that load was heavier than they realised.

“I want a plan manager who actually notices when something is wrong” 

Sometimes it is the absence of good service, rather than the presence of bad service, that wears participants down. Invoices get paid eventually. Questions get an answer of some kind. But you have never spoken to the same person twice, and you are not sure anyone actually knows your plan. 

The shift participants describe most often when they come to First2Care is not about speed or features. It is about feeling like someone is paying attention. A dedicated specialist who remembers last week's conversation. A response on the same day. Being told early when something in your budget or an invoice needs attention, rather than finding out too late.

Joining the NDIS for the first time is a significant moment, and not always a simple one. There is a lot of new language, a lot of new processes, and a lot of decisions to make before you have had a chance to understand what any of them actually mean. 

 

For newly approved participants, one of the most common points of confusion is how to manage their plan at all. NDIA management is the default, but it is not always explained as one. Plan management often does not come up at all unless the participant asks about it. 

What participants tell us, consistently, is that having someone to call when they do not understand something made the whole NDIS feel less overwhelming. Not just someone to answer the phone, but someone who knows the system and can give a clear answer about what their budget covers, how to set up a new provider, or what happens if their plan comes up for reassessment.

Support for the whole family, not just the paperwork 

For many participants, especially children and young people, the NDIS involves a whole family, not just one person. Parents, carers, and nominees carry a lot, and a good plan manager supports them too.

What these participants have in common 

Different situations. Different starting points. But the same underlying shift, from complicated to manageable, from uncertain to clear.

 

That shift does not happen automatically just because you have a plan manager. It happens when you have a plan manager who is genuinely good at the job. Fast with payments. Clear with communication. Proactive about budgets. And available when something needs to be sorted out. 

The other thing these experiences have in common is that none of these participants made a dramatic leap. They asked a question, or they reached out, or they looked into whether switching was possible. From that single step, things changed.
